01Who we are

We are responsible for your personal data (the data controller).

Our WhatsApp assistant is powered and operated by Vina (hellovina.io), our service provider. Vina processes your data on our behalf and only on our instructions.

02What data we collect

Data you give us:

• The messages you send, including text, voice notes and images
• Details you choose to share, such as your name, city, the iCAUR model you are interested in, and a preferred callback time
• Your rating of our service, if you answer a satisfaction question

Data we receive from WhatsApp:

• Your WhatsApp phone number and profile name
• Conversation records, such as message dates, times and delivery status

03How we use your data

• To answer your questions about iCAUR cars, offers, showrooms and services
• To arrange callbacks, test drives and appointments with our team
• To pass your enquiry to our sales and customer care team, and follow up with you
• To measure and improve the quality of our service
• To keep the service secure and meet our legal obligations

We only send you promotional messages on WhatsApp if you have agreed to receive them, and you can opt out at any time. We do not sell your personal data.

04You are chatting with an AI assistant

Replies are generated by an AI assistant and may sometimes be inaccurate. Prices, offers and availability are confirmed by our team. If you would like to speak to a person, the assistant can arrange a callback.

05Who we share your data with

• Our authorised sales and customer care staff
• Vina, which operates the assistant for us, and the providers Vina uses to run it: cloud hosting and AI model providers that generate replies
• Meta (WhatsApp), which delivers the messages
• Government authorities, when the law requires it

Each provider receives only the data it needs to perform its service.

06Where your data is stored

Your data is stored on secure cloud servers. Some of our service providers process data outside the Kingdom of Saudi Arabia. When this happens, we take steps to protect it in line with applicable law, including the Saudi Personal Data Protection Law (PDPL).

07How long we keep your data

We keep your conversation data for as long as we need it to handle your enquiry and follow up with you, unless the law requires us to keep it longer. After that, we delete it or make it anonymous.

08How we protect your data

Your data is encrypted in transit, and access is limited by role to authorised staff only.

09Your rights

Under the PDPL, you have the right to:

• Know how your personal data is used
• Access your personal data and get a copy of it
• Correct your personal data
• Ask us to delete your personal data
• Withdraw your consent at any time

You can stop chatting with the assistant at any time by not replying, or by blocking the number in WhatsApp.

10How to request deletion of your data

Email support@hellovina.io with the subject “Delete my data – iCAUR Alghanim” and include the WhatsApp number you used to chat with us.

Requests are handled by Vina on our behalf. We will verify your request, delete your data within 30 days, and confirm when it is done.

11Children

Our WhatsApp assistant is not intended for people under 18. If you believe a child has shared personal data with us, contact us and we will delete it.

Your use of WhatsApp is also covered by WhatsApp’s Privacy Policy.

13Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top of this page shows the latest version.
